INITIALIZING THE ICES SYSTEM
*
In order to use ICES for your course, there are several things
that you must do to initialize the system. These steps are
described in the following sections.
DESIGNING YOUR EXAMINATION AND QUIZ MENU
The very first thing you must do is create a menu for the exams
and quizes you will use for your course. ICES enables you to do
that quite easily. Merely choose the appropriate option under
the 'Setup' menu and then read the instructions carefully before
proceeding.
Note: The examination menu is very important. Nothing works
without it!

DESIGNING EXAMINATIONS AND QUIZES
The second thing you must do in order to use ICES is design
your examinations and quizes. When you have done that, and are
satisfied with the results, you'll never have to design,
administer, or grade another quiz or examination for your course!
ICES will simply use the exams and quizes indefinitely! Of
course, you do have complete freedom to modify or embellish any
of the quizes or exams that you create.
Complete instruction for designing your quizes and examinations
is available by choosing the appropriate options under the
'Setup' option of the main menu of this program.

SETTING ICES PARAMETERS
Once you have designed your 'Examination Menu' you must provide
a number of essential parameters that ICES needs in order to
function. You may do that by choosing option 'C' in the 'Setup'
menu of the PROFESS program.
Complete instructions for entering all of the ICES parameters
are provided at the time you enter them.

PREPARING YOUR COURSE SYLLABUS
A sample course syllabus is not provided with ICES but you may
easily prepare one for your course and store it with ICES. The
syllabus must always be stored on the ICES DISK under the file
name, SYLLABUS.INS. The SYLLABUS.INS file is an ordinary text
file which you can create by using your own favorite word
processor. However, the SYLLABUS.INS file must be a true ASCII
text file. That is, it cannot contain special formatting
characters of any kind.
There is no restriction on the number of lines that are
contained in the file. Thus, your syllabus may be as long as you
need it.

Once you have prepared your course syllabus and stored it as
the SYLLABUS.INS file on the ICES DISK, you can print it out
using the appropriate option in the ICES Master Menu. You may
want to print one or more trial copies to be sure that it is
formatted as you wish before making it available to the students.
If you are not content with the line breaks at the end of a page,
you can alter that by inserting blank lines, where appropriate,
in your text file.

CREATE A MASTER FILE DISKETTE
If you are using a dual floppy system, you must format a blank
diskette to be used as the master file for your course. We
suggest you label it as MASTER FILE. Suppose, for example, that
you are teaching a course during the Fall 1986 semester that is
called 'Introduction to Social Work Practice' with a course
number of SWG-3201. We suggest you put a label on your master
file diskette that might read as:

FORMATTING STUDENT DISKETTES
Once you have designed your examinations and quizes, you are
ready to install ICES for student use. In order to do that, you
must format a number of blank diskettes for use by the students.
We strongly urge that you format about ten percent more diskettes
than you think you will need for the course. It is clearly best
to have too many rather than too few. If you have too few
diskettes it will then be very clumsy to create more and add them
to the system.
Once you have decided to format N number of diskettes, put a
blank label on each one because ICES will later ask you to place
some vitally important information on each diskette label.
When formatting the student diskettes, you should use the
FORMAT DRIVE: command. That is, don't put the DOS system on the
student diskettes. They don't need it.

CREATING STUDENT PASSWORDS
Once you have formatted an adequate number of blank diskettes
for the students, you will need to create a list of student
passwords. In order to do that, just choose the 'Setup' option in
the master menu of this program. The program will create the
list of passwords for you and it will print that list for your
files. Preserve the printed list carefully as you may need it to
help a student who damages, loses or destroys a diskette.
It is very important that you create at least ten percent more
passwords than you think you will need for the course. It is
clearly best to have too many rather than too few. If you have
too few passwords it will then be very clumsy to create more.
The program will create up to 200 passwords and it guarantees
that each one will be unique.

CREATING YOUR MASTER FILE
If you are using a dual floppy system, it is essential that you
have prepared your blank master file diskette before you create
your list of student passwords. When you generate your student
passwords, ICES will create and initialize the master file for
your course. The master file must be stored on the master file
diskette. If you are using a hard disk system, your master file
will be stored on the DRIVE\PATH containing your PROFESS program.

INITIALIZING STUDENT DISKETTES
When you create the list of student passwords, that list is
stored on your PROFESS disk (or directory) for use by this
program. It is used to initialize the student diskettes.
In order to initialize the student diskettes, choose that
option from the 'Setup' menu and follow the instructions
carefully. The program will then place the student passwords on
the student diskettes.

DISKETTE NUMBERS
When you prepare the blank diskettes for use by your students,
ICES will initialize a diskette and then instruct you to place a
Disk Number on the blank diskette label. It is essential that
you put on the label the Disk Number that ICES gives you.
ICES maintains all student records in relation to the assigned
diskette numbers, so there is no room for error in preparing and
numbering the student diskettes.
CAUTION!!
The single best way to create a genuine mess with ICES is to
assign two or more students the same diskette number!

DISTRIBUTE THE STUDENT DISKETTES
You have now initialized the system for the students. When you
distribute the diskettes to the students, we recommend that you
print their name on your password list beside the number of the
disk that you give them AND print their name on the disk label.
Space is provided for student names on the printed password list.
Thus, you can easily capture the password for a student who
subsequently loses it!
Of course, you will probably want to emphasize to the students
the importance of NOT losing their password and protecting it so
that others cannot gain access to their work.

PREPARE THE ICES DISK
The ICES diskette that was shipped to you is not ready for use
by the students. Thus, you must design your own menu,
examinations and quizes. You must then make sure that the ones
you created have been copied onto your working copy of the ICES
diskette. You can do that by putting the PROFESS diskette into
Drive A and the ICES diskette into Drive B. Then issue the
command,
COPY A:*.INS B: <cr>
Remember, do all of your design work using the PROFESS program.
When you have finished, copy all files ending with the .INS
extension onto the ICES working diskette.

DO NOT EXPOSE THE NAME.TCH FILES
When you prepare the ICES diskette for student use, do not copy
any of the files onto the ICES diskette having the file name
extension of .TCH. The students do not need them!

DISTRIBUTE THE ICES DISK
Although the students now have their own data diskette for use
in the course, they cannot use it until they have access to the
ICES DISK. Thus, you will need to make several copies of the
ICES DISK and deposit those with the librarian, lab attendant or
teaching assistant who will be monitoring and servicing the
classroom, library or computer lab where the students will
actually use the system.
When the students wish to conduct work they can then check out
a copy of the ICES DISK from the attendant. We suggest that
students be asked to surrender their university ID card or
driver's license to the attendant when they check out a copy of
the ICES DISK. That will cause them to return it before leaving
the lab.

THE SYSTEM IS NOW READY FOR USE!!
Once you have carried out the above procedures, the system is
fully operational and ready to use. The students can now use it
at their need or leisure. All they need at this point is some
minor instruction.
